These Terms & Conditions ("Terms") govern your access to and use of the services, website, and automation solutions provided by Ottreon ("Ottreon," "we," "us," or "our"). By visiting https://ottreon.com, engaging Ottreon to deliver automation services, or authorizing Ottreon to connect with your business platforms and third-party accounts, you agree to be bound by these Terms. Ottreon is an AI automation agency that designs, builds, and operates workflow automation, AI chatbots, voice AI, CRM integrations, appointment scheduling, and custom business automation on behalf of its clients. These Terms apply to all clients, visitors, and individuals who interact with Ottreon's website or services in any capacity. If you do not agree with any part of these Terms, you should not use Ottreon's website or engage Ottreon to provide services for your business. By continuing to use our services after any updates to these Terms become effective, you acknowledge and accept the revised Terms. Please read these Terms carefully. They describe the scope of services Ottreon provides, how service engagements are conducted, how connected accounts and third-party integrations are handled, the responsibilities each party holds, and how disputes or changes are managed. Services Provided
Ottreon provides AI automation services to business clients. The specific services Ottreon delivers include, but are not limited to, workflow automation, AI chatbot configuration and deployment, voice AI solutions, CRM integrations, appointment scheduling automation, lead generation and follow-up automation, third-party software and API integrations, and custom business automation built to the specifications of each client engagement. All services are delivered on behalf of clients and are configured based on the requirements, workflow preferences, integration specifications, and operational processes that clients communicate to Ottreon during the service engagement. Services are scoped, designed, and executed to address the specific business needs each client presents. Ottreon does not provide generic, off-the-shelf software products. The services Ottreon delivers are professional automation services built and operated on a client-by-client basis. The scope of each engagement, including which platforms are connected, which workflows are automated, and which data sources are accessed, is determined by the client's instructions and Ottreon's technical capacity to fulfill them. Ottreon reserves the right to decline to deliver any service, workflow, or integration that is inconsistent with applicable law, these Terms, or Ottreon's operational standards. Ottreon also reserves the right to discontinue, modify, or update the technical implementation of any automation or workflow where required by changes to third-party platforms, applicable law, or Ottreon's infrastructure. The automation services Ottreon provides are intended for business use only. Ottreon's services are not directed at individuals acting in a personal consumer capacity unrelated to a legitimate business purpose. Clients are responsible for ensuring that the automation workflows they request from Ottreon are appropriate for their intended business use case and compliant with the laws and regulations applicable to their own business operations.
Service Configuration and Delivery
The design and configuration of each automation engagement begins with Ottreon collecting the workflow preferences, integration requirements, CRM details, scheduling preferences, and other operational information you provide. Ottreon uses this information to build the automation architecture that supports your requested workflows. The accuracy and completeness of what you provide directly determines the quality, reliability, and appropriateness of the automation that Ottreon configures on your behalf. Once configured, automations are operated by Ottreon's systems and infrastructure using the connected platform access you have authorized. The day-to-day execution of your workflows, including appointment scheduling, CRM synchronization, automated follow-up communications, chatbot interactions, and voice AI responses, is handled by Ottreon's automation infrastructure within the scope of the permissions and instructions you have provided. Ottreon monitors its infrastructure on an ongoing basis to support the reliability and performance of your active automations.
Service Continuity
Ottreon is committed to maintaining the reliability and continuity of its services through secure backup procedures, ongoing infrastructure monitoring, and appropriate operational safeguards. While we make reasonable efforts to ensure the uninterrupted performance of your automation workflows, certain aspects of our services rely on third-party platforms, APIs, cloud providers, and external technologies that are outside Ottreon's direct control. As a result, the availability or functionality of your automations may occasionally be affected by third-party service outages, scheduled maintenance, software updates, API modifications, security changes, policy revisions, or other events originating from those external providers. In the event of a disruption caused by factors within Ottreon's control, we will take commercially reasonable steps to investigate the issue, restore affected services, and resume normal operation as promptly as reasonably practicable. However, Ottreon cannot guarantee uninterrupted service where interruptions arise from circumstances beyond its reasonable control.
Service Engagement and Client Responsibilities
When you engage Ottreon to design, configure, or operate automation services on your behalf, you accept a set of responsibilities necessary to ensure that the engagement can proceed effectively and appropriately.
Accurate Information
You agree to provide Ottreon with accurate, complete, and current information about your business, workflows, integration requirements, CRM systems, scheduling processes, and any other operational details that Ottreon requires to design and deliver the services you have requested. Ottreon relies on the information you provide to configure automations correctly. Ottreon is not responsible for errors, incomplete workflows, or unintended automation behavior arising from inaccurate or incomplete information provided by you.
Authorized Account Access
When you authorize Ottreon to connect with third-party platforms such as Google Workspace, Microsoft 365, HubSpot, Slack, Calendly, Stripe, WhatsApp Business, or other supported applications, you represent and warrant that you have the authority to grant such access on behalf of your business or organization. By granting Ottreon access to your accounts, you confirm that you are authorized to do so and that the access you provide is consistent with the terms of service of the relevant third-party platforms.
Workflow Authorization
You are responsible for reviewing and approving the automation workflows that Ottreon configures on your behalf before they are deployed. Ottreon operates within the scope of the workflows and integrations you have explicitly authorized. You agree not to request automations that violate applicable law, infringe the rights of third parties, or conflict with the terms of service of the platforms that are being connected.
Ongoing Compliance
You remain responsible for ensuring that the use of Ottreon's automation services within your business operations complies with all laws and regulations applicable to your industry and jurisdiction. This includes, but is not limited to, applicable data protection laws, communications regulations, and any platform-specific policies governing the use of automation on connected third-party services.
Account Security
You are responsible for maintaining the security of your accounts on all third-party platforms connected to Ottreon's services. If you become aware of any unauthorized access, security breach, or compromise involving any connected account that may affect the operation or performance of your automations, you agree to notify Ottreon promptly at [[email protected]](mailto:[email protected]). Timely notification enables Ottreon to take appropriate steps to investigate the issue and, where reasonably possible, assist in minimizing any disruption to your automation services.
Service Changes
If your business requirements change in a manner that affects the scope, configuration, or authorized workflows of your engagement with Ottreon, you agree to promptly notify Ottreon of such changes so that the relevant automations can be reviewed, updated, and configured accordingly.
Revocation and Disconnection
You may disconnect any third-party service from your Ottreon automation engagement at any time by revoking the relevant OAuth or account access through the settings of the connected platform. You acknowledge that disconnecting a service will affect any automations that depend on that connection and may limit Ottreon's ability to deliver specific workflow functions that relied on the revoked access. Ottreon is not liable for service interruptions or incomplete automation outcomes that result from your decision to revoke connected account access.
Notification of Changes
You are responsible for informing Ottreon of any material changes to your connected accounts, platform subscriptions, or business systems that may affect the operation of your automations. This includes changes to your CRM platform, scheduling tools, communication accounts, or any other integrated service that forms part of your authorized workflow. Ottreon will take reasonable steps to adapt your automation configuration when notified of relevant changes, but cannot guarantee continuity of automated workflows without adequate prior notice.
Connected Services and Third-Party Integrations
Ottreon's services often require connecting your business accounts with third-party platforms to deliver the automation workflows you have requested. This section explains how those connections are established, utilized, and managed throughout the provision of our services.
Scope of Connections
To deliver your requested automations, you may authorize Ottreon to connect with platforms including, but not limited to, Google Workspace, Microsoft 365, HubSpot, Slack, Calendly, Stripe, WhatsApp Business, and other supported applications. The specific platforms that Ottreon connects to will depend on the automation workflows you have requested and authorized.
Purpose-Limited Access
To deliver your requested automations, you may authorize Ottreon to connect with platforms including, but not limited to, Google Workspace, Microsoft 365, HubSpot, Slack, Calendly, Stripe, WhatsApp Business, and other supported applications. The specific platforms that Ottreon connects to will depend on the automation workflows you have requested and authorized.
Purpose-Limited Access
Ottreon accesses your connected accounts solely for the purpose of executing the specific automation workflows you have authorized. Ottreon does not access any data, files, emails, calendars, CRM records, or other information available within your connected accounts unless such access is directly required to perform your approved workflows. Access to your connected accounts is used exclusively to deliver the automation services you have requested and for no other purpose.
No Excessive Permissions
When connecting to your accounts, Ottreon requests only the permissions that are necessary to perform your approved automations. Ottreon does not request permissions that are broader than those needed, does not retain access to connected accounts beyond the scope required for your active service engagement, and does not interact with data that falls outside the intended scope of your authorized workflows.
Third-Party Platform Terms
Your use of any third-party platform connected to Ottreon's services remains subject to the terms of service and privacy policies of those platforms. Ottreon's ability to access and interact with your connected accounts is dependent on the permissions you grant and the technical capabilities provided by each third-party platform. Ottreon is not responsible for changes made by third-party platforms to their APIs, permissions models, or terms of service that may affect the operation of your connected automations.
No Modification Outside Authorized Scope
Ottreon does not modify, delete, or otherwise alter any data, files, or records within your connected platforms except where such actions are expressly included as part of the automation workflow you have authorized. Where an approved workflow involves updating CRM records, scheduling appointments, sending communications, or performing other automated actions on your connected platforms, those actions will be executed in accordance with the workflow configuration you have approved.
Third-Party Infrastructure
Depending on the automations configured for your business, Ottreon may interact with platforms and technology infrastructure including Google Cloud, Google Workspace, Microsoft 365, n8n, OpenAI, Anthropic, Meta, Slack, Twilio, Stripe, HubSpot, Calendly, AWS, Cloudflare, DigitalOcean, Hostinger, and similar providers. Each provider operates under its own terms of service and privacy and security standards. Ottreon works with these providers as necessary to deliver your automation services, but each provider's independent policies govern their own handling of data processed through their infrastructure.
OAuth Authentication and Credential Handling
Ottreon uses OAuth 2.0 authentication as the primary method for connecting to third-party platforms, including Google, Microsoft, and other supported services. This section explains how OAuth access is established, managed, and maintained throughout the provision of our services.
OAuth 2.0 Authentication
When you connect your accounts to Ottreon's services, Ottreon uses the OAuth 2.0 authentication protocol to request access to the specific permissions required for the automation services you have authorized. This authorization process enables you to grant Ottreon access only to the approved scopes of your account without disclosing or sharing your account password. Where OAuth authentication is available, Ottreon neither requests, collects, nor stores your account passwords, and all authorized access is established through the OAuth 2.0 authorization process.
Scope-Limited Access Tokens
Ottreon requests only those OAuth permission scopes that are reasonably necessary to perform the automation workflows you have explicitly authorized. Any access tokens, refresh tokens, and related authentication credentials obtained through the OAuth authorization process are handled using appropriate security measures and are accessible only to authorized systems and authorized personnel responsible for configuring, maintaining, supporting, and operating your approved automation workflows.
Google OAuth
When you grant Ottreon access to your Google Account through the OAuth 2.0 authorization process, Ottreon requests only the Google API permission scopes that are necessary to perform the automation workflows you have approved. Ottreon does not access emails unrelated to your authorized workflows, view or retrieve Google Drive files outside the scope of your approved automations, modify any data that you have not expressly authorized Ottreon to update, or perform any action within your Google Account beyond what is reasonably required to deliver the automation services you have requested. Google user data accessed through authorized API scopes is never sold to third parties or disclosed to any unauthorized party.
Revoking Access
You retain full control over your connected accounts at all times. You may revoke Ottreon's OAuth access to any connected account at any time through the account, privacy, or security settings of the applicable third-party platform. For Google Accounts, OAuth access may be revoked through your Google Account permissions at **myaccount.google.com/permissions**. For Microsoft and other supported platforms, access may be revoked through the respective platform's account or security settings. Once such access is revoked, Ottreon will no longer be able to perform any authorized actions on the affected account, and any automation workflows that depend on that connection may cease to function or operate as intended.
No Unauthorized Credential Use
Ottreon does not use OAuth access tokens, refresh tokens, or any other authentication credentials for any purpose other than delivering the automation services you have expressly authorized. Such credentials are used solely within the scope of the permissions granted by you and are never repurposed, disclosed to unauthorized parties, transferred for unrelated purposes, or used beyond the specific authorization for which they were issued.
AI Processing and Automation
Ottreon utilizes artificial intelligence technologies to support certain automation features, workflow capabilities, and intelligent processing functions provided as part of its services. This section explains how AI processing is incorporated into the delivery of those services and defines the scope, purpose, and limitations governing its use within Ottreon's automation solutions.
Purpose of AI Use
AI models are utilized within Ottreon's services solely to perform the specific automation tasks and workflow functions that you have expressly authorized. Such tasks may include generating responses, summarizing information, processing user inputs to trigger automation workflows, and supporting the execution of automated business processes. AI processing is applied only to the information that is reasonably necessary to complete the particular task, workflow, or automation service you have requested and is limited to the scope of your authorized use.
No AI Training on Client Data
Ottreon does not use your business data, client data, or any information processed through your automation workflows to train, fine-tune, enhance, or improve artificial intelligence models on Ottreon's behalf. Any information processed by AI models is used solely for the purpose of executing the specific automation tasks and workflows you have authorized and is not repurposed, retained, or utilized for AI model development, training, or performance improvement.
Third-Party AI Providers
Ottreon's AI-powered automation services may involve the use of AI models and infrastructure provided by third-party AI providers, including but not limited to OpenAI and Anthropic. When your data is processed by third-party AI providers as part of an authorized workflow, that processing is subject to the applicable terms of service and privacy policies of those providers. Ottreon selects AI providers that operate under appropriate privacy and security standards, and information shared with those providers is limited to what is necessary to execute the specific workflow task.
Automation Outputs
AI-powered automation workflows may generate outputs such as drafted messages, scheduled communications, CRM record updates, and other automated actions based on the workflow configuration you have approved. You are responsible for reviewing and approving the configuration, logic, and intended operation of all AI-powered workflows before they are deployed to ensure that the outputs they generate are appropriate for your business requirements and intended use. While Ottreon configures and delivers automation workflows in accordance with the instructions, preferences, and requirements you provide, you remain solely responsible for the business decisions, operational rules, and outcomes reflected in those approved workflow configurations.
Supported Automation Types
AI processing within Ottreon's services supports a variety of automation workflows, including but not limited to AI chatbot responses, voice AI interactions, automated follow-up communications, data summarization for CRM updates, appointment scheduling logic, and other similar automation tasks that form part of the services provided by Ottreon. The specific AI-powered features, capabilities, and automation functions available to you may vary depending on the scope of your service engagement, the workflows you have authorized, and the capabilities, availability, and limitations of the third-party AI platforms and technologies integrated with Ottreon's services.
Data Handling and Storage
Ottreon stores, processes, and manages information collected in connection with your service engagement in accordance with the principles set out in its Privacy Policy. While the Privacy Policy provides a comprehensive explanation of Ottreon's data handling practices, this section summarizes the key principles governing the collection, processing, storage, use, and protection of information in the context of these Terms & Conditions.
Data Processing Purpose.
Information collected from you and processed in connection with the delivery of your automation services is used solely for the purpose of providing, operating, maintaining, supporting, and improving those services. Ottreon does not collect, process, or use your business data or personal information for any purpose unrelated to the automation services you have engaged Ottreon to provide, and such information is handled only to the extent necessary to fulfill the scope of the services requested by you.
Cloud Infrastructure
Ottreon stores and processes service-related information using secure cloud infrastructure provided by trusted hosting and technology providers. Depending on the nature, scope, and technical requirements of the services being delivered, the infrastructure and service providers utilized may vary and may include platforms such as AWS, Cloudflare, DigitalOcean, Hostinger, and other comparable providers. Each such provider operates independently and maintains its own terms of service, privacy practices, and security standards applicable to the services it provides.
Security Measures
Ottreon implements technical and organizational security measures appropriate to the nature and sensitivity of the information stored and processed in connection with its services. These measures include the use of HTTPS encryption to protect data in transit, encryption at rest where supported by Ottreon's infrastructure and applicable service providers, multi-factor authentication (MFA) to secure administrative access to Ottreon's systems, and role-based access controls (RBAC) to ensure that access to information is limited solely to authorized personnel based on their respective roles and responsibilities.
Data Minimization
Ottreon collects and retains only the information that is reasonably necessary to provide, configure, operate, and support the services you have requested. Such information may include personal information, including your name, email address, phone number, and company details provided during the service engagement process, as well as business-related information such as workflow preferences, integration requirements, CRM data, scheduling preferences, and other operational information required to configure, manage, and maintain your authorized automation workflows.
Data Retention
Ottreon retains information associated with your service engagement only for as long as is reasonably necessary to provide and support the services you have requested, fulfill its contractual obligations, maintain legitimate business records, resolve disputes, and comply with applicable legal, regulatory, and compliance requirements. Upon the conclusion of your service engagement, Ottreon will take reasonable steps to delete, anonymize, or securely dispose of the associated personal information within a reasonable timeframe, unless a longer retention period is required or permitted under applicable law. Where applicable, backup copies of such information may be retained temporarily as part of Ottreon's disaster recovery and business continuity processes before being securely and permanently removed in accordance with its data retention practices.
No Sale of Data
Ottreon does not sell, rent, lease, or trade your personal information or business data to any third party under any circumstances. Any information collected or processed in connection with the services you have requested is shared with third parties only to the extent reasonably necessary to deliver those services, where required by applicable law or a valid legal process, or where you have provided your explicit authorization for such disclosure.
International Processing
To deliver Ottreon's AI automation services, your information may be processed or stored in countries where Ottreon's infrastructure providers, cloud hosting providers, or third-party service providers maintain their servers or data centers. Ottreon takes reasonable steps to ensure that any international transfer, processing, or storage of information is carried out securely and in accordance with the principles set forth in its Privacy Policy. Regardless of the location where your information is processed or stored, Ottreon uses such information solely for the purposes described in these Terms & Conditions and its Privacy Policy and does not transfer, process, or disclose it for any unauthorized purpose.
Data Sharing Controls
When Ottreon works with trusted third-party service providers to deliver aspects of your automation engagement, those providers receive only the information necessary to perform their specific role. Ottreon selects providers that maintain appropriate privacy and security practices and does not permit third-party providers to use your information for their own marketing or unrelated commercial purposes. Any sharing of information with third parties is governed by Ottreon's Privacy Policy and is limited to what is necessary to operate the services you have requested.
Backup and Recovery
Ottreon maintains secure backup procedures as part of its infrastructure management and operational practices to support disaster recovery and business continuity. Backup copies of service-related information may be retained for a limited period in accordance with Ottreon's disaster recovery and business continuity procedures before being securely removed in line with Ottreon's applicable data retention practices. The temporary retention of backup copies does not modify, limit, or otherwise affect Ottreon's commitment to the deletion, anonymization, or secure disposal of your information upon the conclusion of your service engagement, subject to applicable legal and operational retention requirements.
Acceptable Use
You agree to use Ottreon's website and services only for lawful purposes and in accordance with these Terms. The following constitute prohibited uses of Ottreon's services. You must not request or direct Ottreon to configure automations that violate applicable law or regulation, including but not limited to laws governing electronic communications, data protection, consumer protection, and spam. You must not provide false, misleading, or unauthorized information to Ottreon in connection with your service engagement, including representations about your authority to grant access to third-party accounts or to authorize specific automation workflows. You must not request automations that are designed to deceive, defraud, or harm third parties, or that would cause Ottreon's services to be used as a mechanism for unauthorized access to, or interference with, systems or data belonging to others. You must not request or direct Ottreon to access data, accounts, systems, or permissions beyond what is necessary for the specific automation workflows you have authorized and that fall within the scope of Ottreon's services. You must not use Ottreon's services to process sensitive categories of personal data unless you have independently ensured that such processing is lawful and appropriately authorized under the data protection laws applicable to your business and jurisdiction. You must not represent Ottreon's services, outputs, or automated communications to your own clients or customers in a manner that is inaccurate, misleading, or inconsistent with the nature of the automation workflows being operated. Ottreon reserves the right to suspend or discontinue services to any client whose use is found to violate these Terms, applicable law, or the terms of service of third-party platforms involved in the delivery of the relevant automations.
Intellectual Property and Service Deliverables
This section explains the ownership and permitted use of Ottreon's proprietary intellectual property, the client-specific deliverables created in connection with your service engagement, and the ownership of your business data processed through Ottreon's services.
Proprietary Rights of Ottreon
Ottreon retains all rights, title, and interest in and to its proprietary methodologies, frameworks, templates, processes, technical implementations, software configurations, and underlying technologies developed, owned, or used in connection with the design, configuration, deployment, and delivery of its automation services. This includes, without limitation, Ottreon's internal tools, workflow methodologies, prompt configurations, automation frameworks, system architectures, technical documentation, and all other proprietary resources created, maintained, or utilized in the course of providing its services.
Client-Specific Deliverables
Automation workflows, integration configurations, AI chatbot implementations, voice AI solutions, and other deliverables specifically configured or developed for your business are provided solely for the purposes of your authorized service engagement with Ottreon. The ownership, licensing, use, and permitted rights relating to such deliverables shall be governed by the terms of any applicable service agreement, statement of work, proposal, or other written agreement entered into between you and Ottreon, where applicable.
Ownership of Client Data
You retain all rights, title, and ownership in and to your business data, CRM records, customer information, communications, documents, and all other content or information maintained within your connected accounts, business systems, or integrated platforms. Ottreon's access to such information is strictly limited to the extent reasonably necessary to configure, operate, maintain, support, and deliver the automation workflows you have authorized and shall not be construed as granting Ottreon any ownership rights, intellectual property interest, or proprietary claim over your business data.
Limitation of Liability
Ottreon's AI automation services are delivered using reasonable professional care and appropriate technical practices. However, Ottreon does not guarantee that automation workflows will be error-free, uninterrupted, or free from unexpected behavior arising from changes to third-party platforms, APIs, or technology infrastructure outside Ottreon's control. Ottreon is not responsible for the accuracy, completeness, or outcomes of automated outputs generated in response to data or inputs provided by your business. You are responsible for reviewing automated outputs where they inform consequential business decisions. Ottreon is not liable for service interruptions, data inaccessibility, or workflow failures caused by outages, changes, or policy updates made by third-party platforms including but not limited to Google Workspace, Microsoft 365, Slack, HubSpot, Stripe, Calendly, or any other connected service provider. Each third-party provider operates independently and may modify their services, APIs, or access protocols at any time. Ottreon implements appropriate security measures, but cannot guarantee that its systems, infrastructure, or connected third-party platforms will be entirely free from unauthorized access or security incidents. No method of electronic storage or internet transmission provides absolute security. Ottreon employs HTTPS encryption, encryption at rest where supported, multi-factor authentication for administrative access, and role-based access controls to reduce the risk of unauthorized access, but these measures do not constitute a guarantee against all possible security incidents.
Reliance on Client-Provided Information
Ottreon configures, deploys, and operates automation workflows based solely on the information, specifications, requirements, instructions, and authorizations you provide in connection with your service engagement. Accordingly, Ottreon shall not be responsible for any automation behavior, generated outputs, workflow failures, operational results, or other outcomes arising from inaccurate, incomplete, outdated, misleading, or unauthorized information, instructions, specifications, or approvals provided by you. You are solely responsible for ensuring that all workflow parameters, integration scopes, operational requirements, and implementation instructions provided to Ottreon are accurate, complete, and appropriate for your intended business use.
Third-Party AI Outputs
Where AI processing forms part of your automation workflows, the outputs generated by AI models are based on the data and inputs processed as part of those workflows. Ottreon does not guarantee the accuracy, completeness, or suitability of AI-generated outputs for any particular business purpose. You are responsible for determining whether AI-generated outputs produced by your configured automations are appropriate for your specific business context and for any decisions made in reliance on those outputs. Nothing in these Terms limits Ottreon's liability for fraud, willful misconduct, or any liability that cannot be excluded under applicable law.
Website Use
When you access or use https://ottreon.com, you agree to use the website only for lawful purposes and in a manner consistent with these Terms & Conditions and all applicable laws. Suspension and Termination
This section describes the circumstances under which a service engagement with Ottreon may be suspended or terminated, the process by which either party may bring an engagement to an end, and the obligations that remain following the conclusion of a service relationship.
Service Suspension
Ottreon reserves the right to temporarily suspend access to or operation of your automation workflows where Ottreon reasonably determines that continued operation poses a risk to the security or integrity of its systems or infrastructure, that continued operation would require Ottreon to violate applicable law or the terms of service of a connected third-party platform, or that an unresolved issue with your connected account access is causing material disruption to automation performance. Where practicable, Ottreon will notify you of a suspension and the reason for it at [email protected] prior to or promptly following the suspension taking effect. Ottreon will take reasonable steps to restore suspended services as quickly as the underlying issue allows.
Client Termination
You may terminate your service engagement with Ottreon at any time by providing written notice to [email protected]. You are responsible for revoking any OAuth access or third-party account permissions granted to Ottreon as part of your engagement. Revocation of connected account access can be carried out through the account or security settings of each relevant third-party platform, as described in Section 4 of these Terms. Ottreon will take reasonable steps to cease operating your automation workflows upon receiving confirmation of your termination notice and any obligations outstanding at the time of termination, including fees for services already delivered, remain payable in accordance with Section 17 of these Terms.
Ottreon Termination Rights
Ottreon may terminate a service engagement at its reasonable discretion where you have materially breached these Terms and have not remedied the breach within a reasonable period after being notified of it, where your use of Ottreon's services is found to violate applicable law or the terms of service of connected third-party platforms, where you have provided materially inaccurate or unauthorized information in connection with your engagement, or where continued delivery of the services has become technically or operationally impracticable due to circumstances outside Ottreon's control. Ottreon will provide notice of termination to you at the contact details associated with your engagement. Where Ottreon terminates an engagement due to a material breach on your part, fees for services already delivered prior to termination remain due and payable.
Effect of Termination
Upon termination of a service engagement, Ottreon will cease executing your automation workflows, cease accessing your connected third-party accounts for the purpose of delivering those workflows, and take reasonable steps to delete, anonymize, or securely dispose of personal and business information associated with your engagement within a reasonable period, in accordance with Ottreon's data retention practices as described in Section 6 of these Terms and its Privacy Policy. Backup copies may be retained temporarily as part of Ottreon's disaster recovery and business continuity procedures before being securely removed. Termination of a service engagement does not affect any rights or obligations that accrued prior to the effective date of termination.
Connected Account Access Following Termination
Following the termination of your service engagement, you are responsible for confirming that Ottreon's OAuth access and any other authorizations previously granted in connection with your automations have been fully revoked through the account or security settings of each connected platform. Ottreon will not take any authorized actions on your connected accounts after the termination of a service engagement. If you have any concern that access has not been fully revoked, you should review the authorized applications listed within each connected platform's account settings and remove Ottreon's access directly from there.
Outstanding Obligations
The termination of a service engagement, whether initiated by you or by Ottreon, does not discharge either party from obligations that arose prior to termination. Any fees for services delivered prior to the effective date of termination remain payable. Provisions of these Terms that by their nature survive termination, including those relating to data handling, intellectual property, limitation of liability, and client rights, continue to apply following the end of a service engagement.

Service Pricing
The fees applicable to your service engagement are agreed between you and Ottreon at the time of engagement and are set out in the relevant service agreement, proposal, or invoice issued by Ottreon. Fees are determined based on the scope of the automation workflows requested, the platforms and integrations involved, the complexity of configuration required, and the ongoing operational responsibilities Ottreon assumes as part of the engagement. Ottreon does not apply a standardized pricing schedule across all engagements, as the services Ottreon delivers are configured to each client's specific business requirements. Any changes to the scope of your engagement that materially affect the resources required to deliver the services may be reflected in revised pricing, which Ottreon will communicate to you in advance.
Payment Terms
Payment for Ottreon's services is due in accordance with the terms set out in your service agreement or invoice. Where no specific payment terms are separately agreed, payment is due within the period stated on the relevant invoice from the date of issue. You agree to make payment in full by the due date using the payment method agreed with Ottreon. Failure to make payment by the applicable due date may affect Ottreon's ability to continue delivering your automation services and may result in suspension of active workflows in accordance with Section 16 of these Terms.
Invoicing
Ottreon will issue invoices to the billing contact details or billing address associated with your service engagement. Each invoice will clearly identify the services provided or to be provided, the applicable service fees, any taxes or other charges, where applicable, and the relevant payment due date. You are responsible for ensuring that the billing contact information provided to Ottreon remains accurate, complete, and up to date throughout your service engagement. If you believe that an invoice contains an error, discrepancy, or omission, you should notify Ottreon promptly at **[[email protected]](mailto:[email protected])** following receipt of the invoice so that the matter may be reviewed and, where appropriate, resolved.
Late Payments
Where payment is not received by the applicable due date, Ottreon reserves the right to suspend or withhold the delivery of active automation workflows and related services until all outstanding amounts have been paid in full. Where payment remains overdue for an extended period, Ottreon may apply reasonable late payment charges, if applicable, the details of which shall be specified in the relevant service agreement or otherwise communicated to you in advance. Before taking any action in relation to overdue payments, Ottreon will provide reasonable notice and, where a genuine dispute exists regarding the amount or basis of an invoice, will work with you in good faith to review and resolve the matter.
Taxes
Fees quoted by Ottreon for its services are exclusive of any applicable taxes, levies, duties, or similar governmental charges unless expressly stated otherwise in the applicable invoice or service agreement. You are responsible for the payment of any taxes, levies, or duties that arise in connection with your engagement with Ottreon under the applicable laws and regulations of your jurisdiction. Where Ottreon is required by law to calculate, collect, and remit any applicable taxes in relation to the services provided, such taxes will be identified separately on the applicable invoice and added to the total amount payable.
Refund Policy
Ottreon's services involve the investment of professional time, expertise, and technical resources in designing, configuring, implementing, and operating bespoke automation workflows tailored to each client engagement. As such, fees paid for services that have already been delivered, performed, or are actively being provided are generally non-refundable. Where a service engagement is terminated before the agreed services have been fully delivered, any eligibility for a refund shall be determined solely in accordance with the applicable service agreement or other written agreement governing the engagement. Nothing in these Terms & Conditions shall be construed as creating an automatic entitlement to a full or partial refund. Where a refund is determined to be applicable under the relevant agreement, Ottreon will communicate the outcome to you in writing following completion of its review. Force Majeure
Ottreon's ability to deliver AI automation, workflow automation, and third-party integration services depends in part on the availability and reliability of external systems, infrastructure, and platforms that are outside Ottreon's direct control. This section describes how Ottreon addresses circumstances where service delivery is affected by events that could not reasonably have been anticipated or prevented.
Events Beyond Reasonable Control
Ottreon will not be held liable for any delay, interruption, or failure in the delivery of its services to the extent that such delay, interruption, or failure is caused by an event or circumstance beyond Ottreon's reasonable control. Such events include, but are not limited to, natural disasters, widespread internet or infrastructure outages, failures of third-party platforms or cloud infrastructure providers, changes in applicable law or governmental action, and other circumstances that prevent or materially impair Ottreon's ability to operate its systems or access the infrastructure required to deliver your authorized workflows.
Natural Disasters and Exceptional Events
Events such as earthquakes, floods, fires, severe weather, pandemics, or other exceptional circumstances that disrupt Ottreon's operational capacity or the availability of the infrastructure Ottreon relies upon to deliver its services constitute force majeure events for the purposes of these Terms. Where such an event prevents Ottreon from delivering services, Ottreon's obligations under an active service engagement are suspended for the duration of the event and for a reasonable period thereafter, to the extent that performance remains impossible or impracticable.
Internet and Infrastructure Outages
Ottreon's automation services are delivered through cloud infrastructure provided by third-party hosting and technology providers, including AWS, Cloudflare, DigitalOcean, Hostinger, and similar platforms. Widespread or regional outages affecting the availability of internet connectivity or cloud infrastructure that are outside Ottreon's operational control may prevent or delay the execution of automation workflows. Ottreon is not liable for service interruptions arising from infrastructure outages that are caused by or attributable to third-party hosting or connectivity providers, provided that Ottreon takes reasonable steps to restore affected services once normal infrastructure availability is resumed.
Third-Party Platform Failures
Ottreon's workflow automation services depend on the continued availability and functionality of connected third-party platforms, including Google Workspace, Microsoft 365, HubSpot, Slack, Calendly, Stripe, WhatsApp Business, OpenAI, Anthropic, Twilio, n8n, Meta, and other providers involved in delivering your authorized automations. Unplanned outages, API failures, service disruptions, or changes to platform access policies made by any of these providers may affect the operation of your workflows in ways that are outside Ottreon's control. Ottreon is not liable for the unavailability of third-party platforms or for changes made by those platforms to their APIs, access protocols, or terms of service that impair the operation of connected automations. Ottreon will take reasonable steps to notify you of significant third-party platform disruptions affecting your active workflows and to resume normal operation as promptly as practicable once the relevant platform's availability is restored.
Government Actions and Legal Changes
Changes to applicable law, regulatory requirements, or government-imposed restrictions that prevent or materially restrict Ottreon's ability to deliver specific services or operate certain automation workflows also constitute circumstances beyond Ottreon's reasonable control. Where a change in law or government action requires Ottreon to suspend, modify, or discontinue a specific automation workflow or integration, Ottreon will notify you as promptly as practicable and will work with you in good faith to identify an alternative approach where one is legally and technically available.
Effect on Service Delivery
Where a force majeure event affects Ottreon's ability to deliver your automation services, Ottreon will notify you at the contact details associated with your engagement as soon as reasonably practicable following the onset of the event. Ottreon will take all reasonable steps available to it to mitigate the impact of the event on your service delivery and to resume normal operations as promptly as the circumstances permit. Where a force majeure event continues for an extended period and materially prevents delivery of the agreed services, either party may raise the matter with the other in good faith to discuss how the engagement should proceed, in accordance with any applicable provisions of a separate service agreement and the general principles set out in Section 14 of these Terms.
